Relocation Planning
Moving
Arrange for UCSD Moving Services to handle your vacating and relocating. Place your service request at least four (4) weeks prior to your targeted move date.
Pack and Label
- All packing must be done prior to the arranged move date.
- Everything that can go into a tote must be in a tote. These can be provided by Moving Services.
- Place a moving label on all totes, moving carts and any uncontained pieces of equipment. Labels should include building, room number and location within room. Put signs at the new location with the corresponding location information in the room or corridor to ensure your equipment is placed in the correct location.
- All computers, fax machines, copiers and printers must be disconnected. All cords must be removed and packed separately. Those cords which cannot be removed must be taped to the machine.
- Work with your department business office to coordinate off-site storage if you do not have enough filing space in your new office/lab.
Facilities Management
Facilities Management (FM) is responsible for maintaining UC San Diego buildings and grounds and managing minor campus building renovations. Submit a service request form for the following services.
FM Services
- Renovation and Renewal Services
- Custodial Services (including trash and recycle)
- Outdoor Maintenance Services
- Non-Hazardous Waste Management
- Maintenance and Repair Services
Environmental Health & Safety
Environmental Health & Safety (“EH&S”) is a valuable resource. Their webpage provides additional details about relocating a lab. Notify them of your intended lab move (or closure) 30 days prior to your moving day. This will allow sufficient time to update mandated reporting and will minimize any interruption in your work.
The requirements for establishing and operating your new lab in compliance with UCSD’s research safety policies can be found here.
Click here for a list of contacts for the Research Assistance Program (“RAP”). Locate your building within the list to identify your point of contact for your new location.
Vacating the Former Location
- As a School, Department and/or Principle Investigator, you are responsible for leaving the vacated lab/office ready for occupancy or renovation.
- Everything must be removed from bookcases, shelving, bench shelving, bench tops, and from the tops of refrigerators, freezers, and file cabinets.
- Remove all posters, pictures, charts, etc. from the walls and bulletin boards. If too large to place in tote, add moving label to it.
- Decontaminate, clean, and empty the lab space before requesting an EH&S final clearance. EH&S will post a green clearance tag on the door when the lab is cleared of hazards.
- Arrange for final cleaning of your former location through Custodial Services. The location must be properly cleaned and all contents, including equipment, whether operational or not, is removed. Your School, Department, and/or ORU administration will be charged if Facilities Management or EH&S are called in to address anything you failed to complete as part of your vacating the premises.
