New Hire Paperwork
Upon your admission to UC San Diego, you can expect to receive an email from ARCrequest@health.ucsd.edu containing important instructions. It is crucial that you carefully review the details provided below to facilitate prompt processing. Neglecting to do so could potentially lead to a revised start date or delays in receiving your pay.
Step 1: I-9 Verification
The I9 is for the purpose of confirming your eligibility to work in the United States. You will need to book an in-person appointment for your I9 verification (see #3). You will be receiving an email from "employment.authorization@universityofcalifornia.edu" to complete Section 1. Section 2 will be completed in-person. Please complete the necessary form online and double-check the accuracy of the data you submit.
** IMPORTANT ** In order for our office to complete the employer section of the I-9 Verification process, please reply to the pre-onboarding email received from ARCrequest@health.ucsd.edu with an attached copy or clear photo of your work identification documents. Please also be sure to bring the original identification documents with you to your in-person onboarding appointment.
- US Citizens/ Permanent Resident: Please reference the list of acceptable identification documents and provide a clear copy or photo of:
- Option 1: One item from List A (Example: Valid US Passport)
OR - Option 2: One item from List B AND List C (Example: Valid Driver License AND Social Security Card)
- Option 1: One item from List A (Example: Valid US Passport)
- Foreign Nationals: Acceptable identification documents are dependent on visa type
- Option 1: 1-20/DS-2019, Passport with Visa Stamp, AND I-94
OR - Option 2: EAD Card or Permanent Resident Car
- Option 1: 1-20/DS-2019, Passport with Visa Stamp, AND I-94
NOTE: If you do not yet have a Social Security Number, please refer to Identification Documents - Applying for a Social Security Card on the International Center website on how to apply.
If You Do Not Have a US Address: Please use our Campus address, 9500 Gilman Drive, La Jolla 92093, as a placeholder.
The I-9 verification process will be finalized in-person (see Step 3 for scheduling instructions below). Please bring your ID(s) to your appointment (must be original copy – no scans, pictures, etc.).
Step 2: Onboarding Paperwork
You will be receiving a DocuSign packet to complete. This packet will need to be completed by the deadline provided in the email solicitation. See Prior to Hire for steps.
Step 3: Scheduling In Person I-9 Verification Appointment
Please use the following link to Bookings, a scheduling service, to book a time to meet in-person.
- Appointments will be available on Wednesday from 7:30am to 11am and 12pm - 3pm.
- We will be located on campus (School of Medicine) at MTF 275. If you are driving, the closest parking structure is South Parking Structure.
- We will be:
- Verifying the employment verification documents that you will be providing (see Step 1 above).
- Witness your State Oath and Patent form (via DocuSign should it apply).
- Please note:
- You will need to add your "ARC Case Number" to schedule a time in Bookings. This is an eight-digit number starting with ARC (ARCXXXXXXXX) and can be found in the title of the email notification.
