Faculty Compensation FAQs

The Academic Resource Center assists the departments in determining several types of compensation and providing timekeeping administration for faculty, academics, MSPs, and scholars. This section contains answers to basic questions about the compensation-related services the Academic Resource Center provides. 

How is compensation determined?

Your base salary is determined using a series of salary scales. These scales outline the base salary that you will receive according to your rank and step. Some series are also eligible to receive incentive payments, which are normally negotiated between the department and the employees. When do I get paid?

Depending on your title and series, you can be paid on either a monthly or biweekly schedule. Biweekly employees are typically paid once every two weeks unless the day of pay falls on a holiday. For a list of payday dates, please click here to view the Payroll Calendars. 

What are the differences between exempt and non-exempt employees?

Exempt Employees are paid monthly and are not eligible for overtime. Exempt employees have a set monthly salary based on a 40 hours per week schedule,  prorated to the employee’s Full Time Effort (FTE) . Example – an employee working .80% effort would be paid for 32 hours, an employee working 100% effort is paid for 40 hours per week. Non-Exempt Employees Are paid on a biweekly basis and are eligible for overtime. Biweekly pay is determined by the number of hours worked. 

If I am an exempt-salaried employee, do I need to report time to get paid?

No, your base salary is being paid monthly automatically. Do not report any hours worked in Ecotime. 

Work with your department/supervisor to ensure  exception hours are reported timely (such as vacation, sick, etc) in Ecotime. Ecotime only allows retroactive reporting up to four prior pay periods.

If I’m an hourly employee (non-exempt), how do I report time to get paid?

Depending on your series and effort, you might be asked to report your hours worked/vacation/sick using Ecotime to receive pay either on a biweekly or monthly frequency. Most academic employees are exempt-salaried employees who receive pay monthly but if your situation calls for it, you may be paid on as a non-exempt hourly on a biweekly basis. Please consult with your department.

How do I report vacation and sick hours?

Refer to the Quick User Guide (Page 6 for biweekly employees; Page 17 for monthly employees). 

For employees who only have variable appointments/contracts, they will need to report the actual time worked/vacation/sick to be paid. 

For employees who have multiple appointments, with the primary appointment being exempt-salaried, but the secondary appointment being variable. Report according to your primary appointment. How do I know if I am exempt or non-exempt?

All faculty, MSPs, scholars and most academics in Health Sciences (except for readers) are exempt employees. Readers are non-exempt employees.

How do I obtain my earnings statements?

You can access UCPath Self-Service to download and print complete payroll statements.

I did not receive a paycheck for this pay period. Who can I contact?

Please contact Academic Resource Center via the ARC Service Portal.

How do I change my tax withholdings (W-4)?

You can change your tax withholdings online at UCPath Self-Service. 

How do I change my voluntary retirement contributions?

You can change your retirement contributions online at UCPath Self-Service. 

Where can I obtain my W-2?

You can obtain your past and current W-2 statements online at UCPath Self-Service.
